At Olympus Journeys Private Limited (“we”, “us”, “our”), we are committed to protecting your privacy. This policy explains how we collect and use your personal data when you book tours, use our website www.olympusjourneys.com, or chat with us on WhatsApp.

1. What Information We Collect

a) Information you give us directly:

  • Name, email, phone, nationality, passport copy (for permits/flights)
  • Travel dates, hotel preferences, dietary requirements
  • Payment details – we do NOT store your card number, payments are processed by SWIFT & WISE
  • Visa details if we assist with visa

b) Automatically collected:

  • IP address, device type, browser, pages visited via Google Analytics
  • Cookies (see section 7)
  • WhatsApp conversation history for service support

2. How We Use Your Information

We use your data only for:

  • To create your itinerary, book hotels, transport, guides, flights, and permits
  • To process payments and send booking confirmations
  • To meet legal requirements – e.g., sharing guest list with hotels for C-Form (required by Govt. of India for foreign nationals), forest permits in national parks
  • To send you pre-arrival information, e-tickets, and 24/7 support on WhatsApp/email
  • To improve our website and marketing – only if you opt-in for our newsletter

We will NEVER sell your data to third parties.

3. How We Share Your Data

We share data only on a need-to-know basis with:

  • Hotels, airlines, transport companies – Name and check-in dates only
  • Government authorities – For permits, e.g., Ladakh Inner Line Permit, ASI monument tickets, where passport is mandatory
  • Payment providers – Wise and SWIFT for secure international payments.
  • IT service providers – Google Workspace, website hosting provider

All our partners are required to keep your data confidential.

4. International Data Transfer*

Since you are booking from outside India, your data will be transferred to and processed in India. By booking with us, you consent to this transfer. We ensure GDPR-standard protection for EU/UK/US guests.

5. Data Retention

We share data only on a need-to-know basis with:

  • Booking records & invoices: 8 years (as required by Indian tax law)
  • Passport copies: Deleted within 30 days after tour completion
  • Marketing emails: Until you unsubscribe
  • WhatsApp chats: 2 years for service quality

6. Your Rights

We share data only on a need-to-know basis with:

  • Access, correct, or delete your personal data
  • Withdraw consent for marketing
  • Ask for a copy of data we hold about you
  • Complain to a supervisory authority

7. Cookies Policy

We share data only on a need-to-know basis with:

We use SSL encryption, secure servers, and limited staff access. Passport copies are stored in password-protected drives and auto-deleted after the tour. While we take all reasonable steps, no internet transmission is 100% secure.

9. Children’s Privacy

We do not knowingly collect data from children under 18 without parental consent. If a family tour includes children, we collect data only through the parent/guardian.

10. Third-Party Links

Our site may link to third-party sites (e.g., TripAdvisor, government visa sites). We are not responsible for their privacy practices.
